Tickets & honorarium policy
Presenters and workshop instructors
We’re building Rust INDIA Conference as a self-sustaining community effort. As part of this, we request presenters and workshop instructors to purchase their own conference tickets.
This is a way for all of us to invest in the ecosystem we’re collectively growing. The ticket cost will be returned to you as an honorarium for your contribution, supported by ticket and sponsorship revenue.
If you’d prefer not to receive an honorarium, you can choose to forgo it, in which case, the organizing team will email you a complimentary conference ticket.
Please note:
- Workshop access is not included with conference tickets
- If you’d like to attend workshops, tickets must be purchased separately
- Workshop seats are limited and tend to fill up quickly
Volunteers
Volunteers are a core part of making the conference happen.
To support the same self-sustaining model, we ask all volunteers (students and professionals) to purchase a subsidized conference ticket.
The ticket cost will be returned to you as an honorarium, as long as you actively participate, take ownership of your responsibilities, and show up for your committed shifts. This helps us stay fair to everyone contributing their time and effort.
Student volunteers:
- Please apply with a valid student ID
- Your ticket cost will be reimbursed as honorarium
- A local travel allowance will be provided to support your commute for pre-event setup and event-day responsibilities
Contractors/service providers
Some roles at the conference are fulfilled by professionals in a paid capacity (production, editorial, support, finance, etc.). These contributors are not required to purchase tickets, as they are already engaged to deliver specific services.
Honorarium & reimbursements
All honoraria and reimbursements will be processed after the conference.
Within a week after the event, you’ll receive an electronic receipt and be asked to share your bank details for the transfer.
To help us process payments smoothly, you may optionally share a cancelled cheque or the first page of your bank statement. Incorrect bank details can delay payments if transfers fail.
The same process applies to local travel reimbursements for student volunteers.
Travel & accommodation bursaries for presenters and workshop instructors
We have a limited, need-based bursary to support outstation speakers with travel and accommodation.
If you (or your organization) are able to cover these costs, we request that you don’t apply. This helps us extend support to those who need it more.
How it works
- A fixed grant amount is assigned based on where you’re traveling from (this is the maximum limit).
- If your costs exceed this amount, the difference will need to be covered by you.
- If your costs are lower, reimbursement will be made on actuals.
- You’ll need to make your own travel and stay arrangements.
- Reimbursements will be processed a week after the conference (against submitted bills).
Code of Conduct
We’re here as a community to learn, share, and build together.
This means:
- Be respectful and kind
- Be empathetic
- Engage with ideas thoughtfully - question ideas, not people
We do not tolerate harassment in any form. This includes:
- Offensive remarks related to gender, sexuality, disability, race, caste, or religion
- Inappropriate physical contact or invasion of personal space
- Intimidation, stalking, or unwelcome behaviour
- Recording individuals without their explicit consent
If something feels off, please reach out.
You can report concerns in confidence via call or SMS to +91 76763 32020 (monitored by the organizing team).
Anyone violating these norms may be asked to leave the event, regardless of their role.
