AV Console Manager
The AV Console Manager is like the director of the talk — ensuring Audio, Video (Slides), and the Speaker (Human) are being captured and streamed properly for every session.
You are the primary point of contact for your Hall’s AV.
Core Responsibilities
Pre-event
- Get familiar with the Hall Manager, Camera Operator, Emcee, and Venue In-Charge.
- Find the schedule — either online or via a physical copy.
- Transport the equipment to the respective halls and set it up.
- Ensure all equipment is present as per the packing list. (If not, raise the issue.)
- Set up the camera with the charger, ensure it’s levelled, and connect the HDMI cable.
- Set up the Slides/Speaker’s laptop and connect it to the projector via splitter.
- Set up the microphones and connect them to the mixer.
- Connect the HDMI cables (e. & f.) to the capture cards on the AV Cube.
- Power ON the AV Cube (

) and open OBS.
Load the profile: Live Streaming Template from the menu. - Check if all Audio and Video feeds are appearing on OBS (e., f., & g.)
(If not, raise the issue.) - Do a full test with the speaker of the upcoming talks.
Make sure:- Slides are visible on the projector and in OBS
- Audio and camera feed are visible on OBS
- Do a test recording as a final systems check and start streaming.
During the Talks
- Ensure the camera operator is in sync with the speaker’s movement.
Also check that exposure, ISO, and other camera parameters are set properly.
(If not, inform the camera operator immediately.) - Set up the microphones on the speaker and adjust position properly.
- Start the recording as soon as the speaker begins speaking.
- Ensure the system and network health are intact. (Raise issue if needed.)
- Continuously monitor the stream on your mobile device with earphones to monitor audio levels and make real-time adjustments.
- Stop the recording / Press the marker after each talk.
- Check the recordings during the breaks.
Post-event
- Ensure recording and streaming are stopped and no processing is happening.
- Check if all the recordings are in place.
- Shut down the system and power it off.
- Unplug cables only after system is powered down and removed from AC outlet.
- Roll the cables and pack everything.
- Ensure all items are packed as per the packing list.
