 pply once.** Tell us your interests\, skills\, preferred events\, and avai
 lability.\n2. **Get matched.** The volunteer coordinator will contact you 
 about a suitable role and explain the commitment.\n3. **Confirm your shift
 .** You’ll receive your reporting time\, responsibilities\, and point of
  contact before the event.\n4. **Prepare and participate.** Attend any bri
 efing required for your role\, complete your assigned shift\, and hand ove
 r materials or pending work.\n\nSome roles involve a shift on the event da
 y. Others need preparation or follow-up work. You can express interest in 
 one event or several\; applying does not commit you to every activity list
 ed here.\n\n## What you get\n- Access to talks during your non-shift hours

 will be confirmed separately.\n\n### Membership discount eligibility\nConf
 erence volunteers qualify for the coupon by signing in and out for their f
 ull assigned shift\, verified against the roster by the hall manager or vo
 lunteer coordinator\, and keeping their station covered throughout.\n\n_Co
 upons will not be issued for no-shows\, early departures without prior not
 ice\, or leaving a station without arranging coverage — even if you sign
  back in later._\n\nIf you need to step away\, including to attend a sessi
 on\, arrange coverage and confirm your return time with the person coverin
 g you. For roles without an onsite shift\, check the applicable eligibilit
 y requirements with the coordinator before committing.\n\n### Supporting t

  _If you’re able to\, we encourage you to purchase a conference ticket o
 r annual Hasgeek membership. This is not a condition of volunteering._\n\n
 ## Logistics and preparation\n\n### Setup and reporting times\nYour coordi
 nator will confirm reporting times for each event\, including any setup-da
 y responsibilities. Registration and setup volunteers may need to arrive e
 arlier than other teams.\n\nFor two-day conferences\, confirm which day or
  days you can commit to when applying.\n\n### Dress code\nWear comfortable
  clothing and shoes suited to walking and standing for extended periods. S
 horts are fine\; formal wear is not required.\n\n### What to carry\nBring 
 your phone\, charger\, power bank\, water bottle\, a snack\, and a noteboo
 k and pen. Your coordinator will let you know if your role requires a came
 ra\, laptop\, or other equipment.\n\n### If your availability changes\nIf 
 you need to withdraw\, inform the volunteer coordinator as soon as possibl
 e. You may withdraw up to four days before the event without affecting you
 r chances to volunteer in future.\n\nIf you need to leave an assigned shif
 t early\, give a week’s notice where possible\, and at least three days
 ’ notice. For unexpected changes or emergencies\, contact the coordinato
 r immediately so coverage can be arranged.\n\n### Travel and accommodation
 \nHasgeek does not reimburse local or inter-city travel for volunteers. Ou
 tstation volunteers are responsible for their own travel and accommodation
 .\n\n### Code of conduct\nAll volunteers must follow the [Hasgeek Code of 
 Conduct](https://hasgeek.com/about/policy/code). Please read it before you
 r shift.\n\n## Food arrangements\nAt conferences:\n- **Breakfast:** Provid
 ed for volunteers. The coordinator takes a headcount in advance\; no wrist
 band or token is needed.\n- **Lunch:** Volunteers receive a wristband on t
 he morning of their assigned conference day. This provides lunch access\; 
 no separate token is required.\n\nMeal arrangements for meet-ups and works
 hops will be shared before each event.\n\n## Sponsor swag policy\nYou may 
 visit sponsor stalls during breaks to network. Please politely decline swa
 g offered at the stalls.\n\nHasgeek asks sponsors in advance to set aside 
 swag for volunteers\, subject to each sponsor’s allocation. Where sponso
 rs agree to provide it\, the coordinator will share collection details for
  that event.\n\n## Volunteer roles\nThe roles below cover both The Fifth E
 lephant and Rootconf. Not every role is needed at every event.\n\nRoles ma
 rked **Extended commitment** involve preparation or follow-up beyond the e
 vent-day shift. Exact dates and deliverables will be agreed with the coord
 inator.\n\n### AV and technical\n\n#### AV Console Manager\nKeep your assi
 gned hall’s audio\, slides\, video\, and recordings running smoothly\, i
 ncluding the livestream where applicable.\n\n**What you’ll do:**\n- Set 
 up and test the camera\, microphones\, mixer\, projector\, and recording o
 r streaming console.\n- Check the equipment against the session schedule.\
 n- Monitor audio levels\, video feeds\, camera framing\, and system health
  during sessions.\n- Start and stop recordings\, troubleshoot issues\, and
  escalate when needed.\n- Confirm recordings are saved\, then power down a
 nd pack up equipment.\n\n**Good fit if:** If you have played around with O
 BS\, are into gaming\, and/or are generally comfortable handling AV equipm
 ent\, stay focused through back-to-back sessions\, and can troubleshoot un
 der pressure.\n\n**Commitment:** Setup and a full event day\, as agreed. R
 eports to the AV lead.\n\n### Front-of-house and event operations\n\n#### 
 Registration and help desk\nWelcome attendees\, help them check in\, and a
 nswer questions throughout the event.\n\n**What you’ll do:**\n- Check at
 tendees in using the Hasgeek app and scan badge QR codes.\n- Distribute la
 nyards and attendee materials where applicable.\n- Explain pass types and 
 food-ticket requirements.\n- Keep desk supplies replenished.\n- Help with 
 flash talk and Birds of a Feather sign-ups where these are part of the pro
 gramme.\n\n**Good fit if:** You enjoy talking to people\, stay calm during
  busy periods\, and can pick up app-based check-in quickly.\n\n**Commitmen
 t:** Assigned shifts or a full day. This role may have an early reporting 
 time.\n\n#### Hall Manager - extended commitment\nCoordinate speaker readi
 ness\, session timing\, and transitions in one room.\n\n**What you’ll do
 :**\n- Before the event\, get familiar with the schedule and speakers\, jo
 in the relevant coordination group\, and share technical-check timings.\n-
  Confirm speakers have checked in and completed their technical checks and
  any required video release forms.\n- Guide speakers to the room before th
 eir sessions and coordinate with the AV Console Manager.\n- Keep sessions 
 on time and manage transitions.\n- Direct speakers to the testimonial stat
 ion\, where available.\n- After the event\, help shortlist speaker photos 
 and contribute to the lessons-learnt document.\n\nThis role covers session
  flow and speaker logistics. Moderating Q&A is a separate responsibility.\
 n\n**Good fit if:** You’re organised\, calm under time pressure\, and co
 mfortable coordinating with speakers and technical teams.\n\n**Commitment:
 ** A full day while your room is running\, plus preparation and follow-up 
 that can be done remotely. You’ll receive the schedule\, speaker informa
 tion\, and guidelines in advance.\n\n#### Birds of a Feather (BOF) coordin
 ator\nSupport informal\, facilitator-led discussions.\n\n**What you’ll d
 o:**\n- Check the room\, seating\, signage\, and equipment before each ses
 sion.\n- Welcome facilitators and arrange video release forms where applic
 able.\n- Keep sessions on time and give time-remaining reminders.\n- Help 
 manage capacity\, attendee questions\, and minor issues.\n- Collect feedba
 ck\, reset the room\, and report back to your coordinator.\n\n**Good fit i

 ## General Setup and Production Support — Extended commitment\nHelp prep
 are the venue and keep event logistics moving.\n\n**What you’ll do:**\n\
 n- Help coordinate and collect banners\, signage\, and other materials fro
 m vendors.\n- Help transport materials to the venue.\n- Put up signage and
  arrange furniture as directed.\n- Assist with general physical and logist
 ical tasks during the event.\n\n**Good fit if:** You’re available before
  the event\, comfortable with practical tasks\, and can follow instruction
 s in a busy environment.\n\n**Commitment:** Intermittent work in the three
  to five days before the event\, plus agreed setup and event-day shifts.\n
