 ou'll be matched to roles as events come up\n- Some roles are one-day comm
 itments\; a few need pre-event lead time (flagged clearly below)\n- You'll
  hear from the volunteer coordinator about which role you've been matched 
 to\, along with next steps\n\n---\n\n## What you get — {#h:what-you-get}
 \n\n1. Access to talks during your non-shift hours\n2. A 50% membership di
 scount coupon\, issued after the conference\, subject to the eligibility c
 riterion below\n\n**Coupon eligibility:** Volunteers who sign in and sign 
 out for their full assigned shift (verified against the shift roster by th
 e hall manager or volunteer coordinator)\, without leaving their station u
 nattended\, are eligible for the coupon.\n\nCoupons will **not** be issued
  for: no-shows\, early departures without prior notice\, or leaving your s
 tation without arranging coverage — even if you sign back in later.\n\nI
 f you need to step away during your shift (including to attend a session)\
 , arrange for someone to cover your station and confirm your return time w
 ith them.\n\n**Community guideline:** Fifthel runs on a community-funded m
 odel. We recommend volunteers also purchase a conference ticket or annual 
 Hasgeek membership\, if you're able to — this isn't a condition of volun
 teering\, but it directly supports the community you're contributing your 
 time to.\n\n---\n\n## General logistics {#h:logistics}\n\n**Setup (pre-eve
 nt)**\n\n\n**Reporting times**\n\n**Dress code**\nComfortable clothing and
  shoes suited to walking and standing for extended periods. Shorts are fin
 e. Formal wear is not required.\n\n**What to carry**\nPhone\, phone charge
 r\, power bank\, water bottle (to cut down on paper cup waste)\, a snack f
 or energy\, notebook and pen.\n\n**If you need to drop out**\nYou may with
 draw up to 4 days before the event with no penalty. Please inform the volu
 nteer coordinator as soon as you know — this gives us time to find a rep
 lacement.\n\n**Shift-notice window** (separate from dropping out — this 
 applies to leaving a specific shift early)\nAdvance notice: 1 week is best
  case\, 3 days is worst case.\n\n**Travel and accommodation**\nHasgeek doe
 s not reimburse local or inter-city travel for volunteers. Outstation volu
 nteers are responsible for their own travel and stay.\n\n**Code of conduct
 **\nAll volunteers are expected to follow the [Hasgeek Code of Conduct](ht

 n---\n\n## Food arrangements {#h:food-arrangements}\n**Breakfast** — pro
 vided exclusively for volunteers\, no wristband or token needed. The volun
 teer coordinator takes a headcount in advance and coordinates with the cat
 erer.\n\n**Lunch** — volunteers receive a wristband on the morning of th
 e conference. The wristband is your sign for lunch — no separate token r
 equired.\n\n---\n\n## Sponsor swag policy {#h:sponsor-swag}\nVolunteers ma
 y visit sponsor stalls during breaks for networking. Please politely decli
 ne any swag offered at the stall.\n\nHasgeek requests sponsors\, ahead of 
 the event\, to set aside swag specifically for volunteers based on each sp
 onsor's own allocation and planning. Where a sponsor has agreed to provide
  volunteer swag\, it will be distributed at the help desk at 6:00 PM on 31
  July.\n\n---\n\n## Roles {#h:roles}\n\n> **Note on "extended commitment" 
 roles:** most roles below are single-day. A few need pre-event lead time 
 — from a few days to about a week and a half before the conference. Thes

 AV & Technical {#h:roles-av-technical}\n**AV Console Manager**\nDirect the
  talk — ensuring audio\, slides\, and the speaker are captured and strea
 med correctly for every session in your hall. You're the single point of c
 ontact for AV in your hall.\n\n*What you'll do:*\n- Before the conference:
  set up and test all AV equipment in your hall — camera\, mic\, mixer\, 
 projector\, streaming console — and run a full check against the schedul
 e\n- During talks: monitor the live stream continuously (audio levels\, vi
 deo feed\, camera framing\, system health)\, start/stop recording per talk
 \, troubleshoot in real time\n- After the conference: confirm recordings a
 re saved\, power down and pack up equipment\n\n*Good fit if you:* are comf
 ortable with AV hardware and troubleshooting under pressure\, can stay foc
 used through a full day of back-to-back sessions.\n\n*Time commitment:* fu
 ll day\, hands-on throughout.\n*Reports to:* the AV/console lead for role 
 assignment and technical escalation.\n\n---\n\n**Remote Stream Monitor**\n
 Watch the livestream from wherever you are and flag issues immediately ove
 r WhatsApp — no need to be at the venue.\n\n*What you'll do:*\n- Watch t
 he livestream continuously during session hours\n- Flag issues immediately
  in the AV WhatsApp group — common ones are audio too low/noisy\, or the
  stream going down\n- Keep watching until the issue is resolved or escalat
 ed\n\n*Good fit if you:* have a reliable internet connection\, stay attent
 ive through long stretches\, speak up quickly when something's wrong.\n\n*
 Time commitment:* remote\, in shifts\, during session hours.\n\n---\n\n**
 ⏳ WiFi Setup & Troubleshooting**\nIf you've set up networking gear at ho
 me or done any hands-on networking work\, this role puts that to use — p
 lanning and running WiFi for the venue\, and keeping it stable through the
  conference.\n\n*What you'll do:*\n- 1–1.5 weeks before: get briefed on 
 the WiFi setup plan\; help flag inventory and materials needs to the Hasge
 ek team\n- Day before: help wire up the venue\n- Setup & event day: monito
 r uptime/downtime\; troubleshoot packet drops or outages — especially at
  the registration desk\, sponsor booths\, and for the livestream\n\n*Good 
 fit if you:* have hands-on networking experience (home setups count)\, sta
 y calm troubleshooting live issues\, are available across the lead-up peri
 od\, not just the event day.\n\n*Time commitment:* ~1–1.5 weeks before t
 he event (part-time\, remote-ok for planning) through full days for setup 
 and the conference.\n\n*Note on compensation:* This role is voluntary\, wi
 th standard volunteer benefits. Where someone brings professional-level ne
 tworking expertise\, Hasgeek may offer a small honorarium from community f

 t-of-House & Floor Ops {#h:roles-floor-ops}\n\n**Registration & Help Desk*
 *\nOften the first point of contact for attendees — checking people in\,
  answering questions\, and keeping the morning rush moving.\n\n*What you'l
 l do:*\n- Morning rush (8:00–10:00 AM): check attendees in via the Hasge
 ek app — scan badge QR codes\, hand out lanyards\, notebooks\, and pens.
  Basic familiarity with pass types (members\, tickets\, sponsors\, speaker
 s\, etc.) helps\, since flow varies slightly.\n- Let attendees know if the
 y need to buy a food ticket\n- Keep the swag desk replenished through the 
 day\n- After the rush: the team splits — some continue at the desk\, oth
 ers support flash talk/BoF sign-ups with hall managers\n\n*Good fit if you
 :* enjoy talking to people\, stay calm during a busy first two hours\, pic
 k up app-based check-in quickly.\n\n*Time commitment:* full conference day
 . **Call time: 7:00–7:15 AM** (earlier than general reporting time).\n\n
 ---\n\n**Usher — Wayfinding**\nHelps attendees find their way around the
  venue — halls\, food court\, restrooms\, sponsor booths\, the testimoni
 al station\, and so on.\n\n*What you'll do:*\n- Answer wayfinding question
 s and give directions\n- Help manage flow during breaks — lunch\, tea\, 
 hallway congestion outside halls\n- Encourage attendees to check out Flash
  Talks and BOF sessions\n\n*Good fit if you:* are approachable\, know the 
 venue layout\, don't mind being on your feet.\n\n*Time commitment:* rotati
 onal shifts through the day.\n\n---\n\n**Usher — Hall/Mic**\nWorks insid
 e the halls during sessions — mainly passing the mic during Q&A\, and he
 lping with in-hall flow during transitions.\n\n*What you'll do:*\n- Pass t
 he mic to attendees during Q&A\n- Help manage entry/exit flow as sessions 
 start and end\n- Support the hall manager with anything needed to keep tra
 nsitions smooth\n\n*Good fit if you:* can move quickly and unobtrusively d
 uring a live session\, stay alert through back-to-back talks.\n\n*Time com
 mitment:* rotational shifts\, tied to your assigned hall's schedule.\n\n--
 -\n\n**Hall Manager**\nOwn the smooth running of one room for the day — 
 speaker readiness\, session timing\, and clean transitions between talks.\
 n\n*What you'll do:*\n- Before the conference: join your track's speaker W
 hatsApp group\, get familiar with the schedule and speakers\, communicate 
 tech-check timings\n- On the day: confirm your assigned speakers have chec
 ked in at registration\, get them through tech-check on time (including th
 e video release form\, for live-streamed tracks)\, locate and guide them t
 o the room before their session\, and coordinate closely with your AV cons
 ole manager\n- After each speaker's session\, direct them to the testimoni
 al station (location will be decided and updated by 18 July) if they haven
 't already given a testimonial\n- During sessions: monitor timing to keep 
 things on schedule\, manage clean transitions\n- After the conference: sho
 rtlist and send speaker photos\, contribute to the lessons-learnt document
 \n\n*Good fit if you:* are organized\, calm under time pressure\, comforta

 n**BOF Coordinator**\nBirds of a Feather (BOF) sessions are informal\, fac
 ilitator-led discussions — make sure the room is ready\, the session run
 s on time\, and facilitators and attendees have what they need.\n\n*What y
 ou'll do:*\n- Before each session: open the room\, check seating\, confirm
  signage\, verify equipment\n- Welcome facilitators\, answer questions\, g
 et the video release form signed if applicable\n- During the session: star
 t and end on time\, give time-remaining reminders\, keep an eye on attenda
 nce and engagement\n- Handle issues on the spot: overcrowding\, a missing 
 facilitator\, technical glitches\, noise\n- Help attendees with questions\
 , or redirect to another room if a session is full\n- After each session:

 ttendees without a food ticket\, direct them to scan the QR code to pay\, 
 and confirm payment shows as successful before letting them through — no
  cash is handled at any point\n- At registration\, let attendees know upfr
 ont that they'll need a food ticket if they haven't already bought one\n\n
 *Integrity note:* All payments happen via QR code\, verified through the b
 ackend — never accept cash or wave someone through without seeing paymen
 t confirmation.\n\n*Good fit if you:* are attentive\, comfortable holding 
 a line firmly but politely\, reliable about following the verification ste
 p every time.\n\n*Time commitment:* rotational shifts\, concentrated aroun
 d meal windows.\n\n---\n\n**Washroom & Facilities Watch**\nA small\, low-k
 ey role: keep an eye on washroom supplies and cleanliness through the day\
 , and flag issues immediately.\n\n*What you'll do:*\n- Periodically check 
 that soap\, toilet paper\, and hand-washing supplies are stocked\n- Flag c
 leanliness issues to the help desk or directly to venue staff\n\n*Good fit
  if you:* are observant\, don't mind a low-visibility role\, are comfortab
 le politely flagging issues to venue staff.\n\n*Time commitment:* periodic
  checks through the day.\n*Note:* We're looking for one male and one femal
 e volunteer for this role\, to cover both washrooms.\n\n---\n\n**⏳ Gener
 al Setup & Production Support**\nHelp get the venue physically ready — c
 ollecting materials from vendors ahead of time\, and being hands-on at the
  venue during setup.\n\n*What you'll do:*\n- 3–5 days before: help coord
 inate with and collect materials from vendors (banners\, signage\, etc.)\n
 - Setup day: help transport materials to the venue\, put up banners/signag
 e\, arrange furniture as directed\n- Conference day: be available for gene
 ral physical/logistical tasks\n\n*Good fit if you:* can commit time in the
  days just before the event\, are comfortable with physical tasks and some
  running around\, follow instructions well under pressure.\n\n*Time commit
 ment:* intermittent across 3–5 days pre-event\, plus setup day and confe
 rence day.\n\n---\n\n**⏳ Sponsor Booth Day-of Support**\nBe the extra pa
 ir of hands for sponsor booths on the day — helping move materials\, poi
 nting sponsors to stored items\, and handling small on-the-spot needs.\n\n
 *What you'll do:*\n- ~1 week before: get onboarded and walked through the 
 floor plan — which space belongs to which sponsor\, what each booth's se
 tup looks like\n- Setup/conference day: help move sponsor materials to boo

 quests (e.g.\, a TV not working\, an urgent print item)\n- Coordinate with
  the production vendor's on-call support for anything beyond a quick fix\n

 les-content-social}\n\n**Testimonial Recorder**\nStaff a dedicated testimo
 nial station at the venue (location will be decided and updated by 18 July
 )\, capturing short video testimonials from speakers\, sponsors\, attendee
 s\, volunteers\, and editors. Within your shift\, you'll rotate between as
 king questions and operating the camera/mic setup.\n\n*What you'll do:*\n-
  Staff the testimonial station during your assigned shift\n- Rotate betwee
 n interviewing and operating the recording setup with your shift partner(s
 )\n- Ask engaging questions that draw out a genuine\, usable response\n- G
 et video release consent from anyone you record\, before or immediately af
 ter filming\n- Hand off footage in an organized way for the video editing 
 team\n\n*Good fit if you:* are comfortable approaching strangers and speak
 ers\, think of good questions on the spot\, are reasonably confident with 
 basic phone-camera-plus-mic setups.\n\n*Time commitment:* rotational shift

 e Photographer**\nCapture photos across the day from a provided shot list 
 — mandatory and optional shots covering sessions\, sponsors\, candid mom
 ents\, and the overall energy of the event.\n\n*What you'll do:*\n- Work f
 rom a shot list provided ahead of the conference\n- Photograph sessions\, 
 speakers\, sponsor booths\, candid moments\, general atmosphere\n- Hand of
 f photos in an organized way after your shift/the event\n\n*Good fit if yo
 u:* have your own camera (DSLR or a good phone camera both work)\, have an
  eye for candid/event photography\, can move through the venue for extende

 n**Workshop Photographer**\nA lighter version of conference photography\, 
 for workshops on 17 July\, 25 July\, and 8 August. Genuinely open to a wor
 kshop attendee who enjoys photography.\n\n*What you'll do:*\n- Take photos
  through the workshop from a simple shot list\n- Hand off photos after the
  session\n\n*Good fit if you:* are attending the workshop anyway and enjoy
  taking photos.\n\n*Time commitment:* duration of the workshop.\n\n---\n\n
 **Onsite Reels Editor**\nTurn raw footage into short\, shareable reels —
  in real time\, at the venue\, during the conference\, for posting on Inst
 agram and elsewhere. This is about instinct and speed\, not professional e
 diting chops.\n\n*What you'll do:*\n- Take footage from the day (testimoni
 als\, talk highlights\, candid moments) and turn it into short-form video 
 quickly\n- Post to Instagram and other relevant channels\n- Work with a fa
 st turnaround — same-day\, ideally same-session\n- Use whatever editing 
 tool you're already comfortable with (CapCut\, InShot\, etc.)\n\n*Good fit
  if you:* regularly make Instagram/short-form content for fun\, have a fee
 l for pacing and storytelling\, can work fast without overthinking it. We'
 re not looking for professional editors — just a natural flair for this.
 \n\n*Time commitment:* onsite\, full or partial day.\n\n---\n\n**Post-Even
 t Video Editor**\nTake the raw testimonial footage and talk recordings fro
 m the conference and turn them into polished\, publishable videos after th
 e event.\n\n*What you'll do:*\n- Edit testimonial videos into a publishabl
 e cut\n- Produce short/snippet content from full talk recordings\n- Work a
 t your own pace post-event\, with a clear turnaround deadline\n\n*Good fit
  if you:* same profile as the onsite editor\, but prefer working after the

 n\n## FAQ {#h:faq}\n\n**Do I have to be present for both the setup day and
  the conference day?**\nNo — unless you have pre-event responsibilities 
 at the venue\, or you've been assigned as a volunteer for a workshop. If e
 ither of those applies to you\, we'll let you know when you're confirmed f
 or the role.\n\n**Can I attend a workshop if I'm volunteering?**\nIf you'r
 e volunteering for the workshop itself\, yes — but you're still expected
  to keep up with your assigned duties throughout. If you're volunteering e
 lsewhere (e.g.\, on the conference day)\, you can't attend a workshop as a
  perk — workshops have limited seating reserved for conference attendees
  and members.\n\n**What time should I report?**\nReport between 7:30 AM an
 d 8:00 AM on the conference day\, even though the conference itself starts
  at 9 AM — there are things to do before doors open. Some roles (like Re
 gistration & Help Desk) have an earlier call time of 7:00–7:15 AM\; chec
